Who we are
Infinitas Consulting is a trading name of Infinitas International Consulting Ltd, a private limited company registered in England & Wales under company number 12223716, with its registered office at 26 Gosfield Street, London W1W 6HH, United Kingdom.
We are the controller of the personal data described in this policy, which means we decide how and why it is used. We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
If you have any questions about this policy or how we handle your data, email us at [email protected].
Information we collect
Information you give us. When you use our contact form or email us, we collect:
- your name and email address;
- your company name, if you provide it;
- the service you are interested in and the contents of your message.
If you become a client, we will also collect the information we need to deliver our services — for example financial records, tax details and identity documents — as set out in your engagement letter.
Information collected automatically. Like most websites, our hosting provider records basic technical information when you visit, such as your IP address, browser type, the pages you request and the date and time of your visit. This is used to keep the website secure and running smoothly.
Information from other sources. We may use publicly available sources such as Companies House and, for clients, carry out identity checks where the law requires us to.
How we use your information
We only use your personal data where the law allows us to. The table below sets out why we use it and the lawful basis we rely on.
| Purpose | Lawful basis |
|---|---|
| Responding to your enquiry and preparing a proposal | Legitimate interests (replying to people who contact us) and taking steps at your request before entering into a contract |
| Providing our accounting, consulting and technology services | Performance of a contract |
| Meeting our legal and regulatory obligations, such as tax, accounting and anti-money laundering record-keeping | Legal obligation |
| Keeping our website and systems secure and working properly | Legitimate interests |
| Sending you updates or newsletters, if you ask to receive them | Consent, which you can withdraw at any time |
We will never sell your personal data, and we will only send you marketing emails if you have agreed to receive them.
Who we share it with
We only share your personal data where necessary, with:
- trusted service providers who help us run our business, such as website hosting, email and IT providers, who may only use it on our instructions;
- professional advisers such as lawyers, insurers and auditors;
- HMRC, Companies House, regulators or law enforcement agencies where we are required to by law;
- a buyer or successor if our business is ever sold or restructured.
International transfers
Some of our service providers may store data outside the UK. When this happens, we make sure it is protected — either because the country is covered by UK adequacy regulations, or by using approved safeguards such as the International Data Transfer Agreement issued by the Information Commissioner’s Office (ICO).
How long we keep it
We keep personal data only for as long as we need it:
- Enquiries that do not lead to us working together are kept for up to 12 months, in case you get back in touch.
- Client records are generally kept for 6 years after our engagement ends, to meet our legal, tax and regulatory obligations.
- Technical logs are kept by our hosting provider for a short period for security purposes.
Keeping it secure
We use appropriate technical and organisational measures to protect your personal data, including encrypted connections (HTTPS), access controls and secure, reputable cloud providers. Only people who need your information to do their job can access it.
Your rights
Under data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your personal data;
- ask us to restrict how we use your personal data;
- object to us using your personal data, including for marketing;
- ask us to transfer your data to another organisation;
- withdraw your consent at any time, where we rely on consent.
Some of these rights only apply in certain circumstances. To exercise any of them, email [email protected]. There is usually no charge, and we will respond within one month.
Cookies
Our website does not currently use cookies or similar technologies to track you, and we do not use advertising or analytics cookies. If this changes, we will update this policy and ask for your consent where the law requires it.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint.
Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated shown at the top.
